Introduction

Web4You Inc. is a corporation formed pursuant to the Canada Business Corporations Act, RSC 1985, c C-44, doing business as “Web4You” (“Web4You,” “we,” “us,” or “our”). We respect your privacy and are committed to protecting the personal information that we collect, use, and disclose in the course of our business.
This Privacy Policy explains how we handle personal information in connection with our website located at https://web4you.ca/ (our “Website”), our contact, inquiry, and project request forms, our services, software, applications, and platforms (our “Services” or “Solutions”), our careers and recruitment activities, our partnership, sponsorship, and investment processes, our marketing communications, and our related digital services and project activities.
Our Services include, among other things, custom web and software development, website design, e-commerce and digital platforms, AI and automation solutions, MVP and product development, consulting and research and development, and uncrewed aerial vehicle (“UAV”) / remotely piloted aircraft system (“RPAS”), aerospace, and related research, innovation, and technology projects.
This Privacy Policy should be read together with our Terms and Conditions of Use, available at https://web4you.ca/terms-and-conditions/ (the “Terms”). Unless otherwise indicated, capitalized terms used but not defined in this Privacy Policy have the meaning given to them in the Terms. To the extent of any conflict between this Privacy Policy and the Terms with respect to personal information, this Privacy Policy governs.
We may update this Privacy Policy from time to time, as described under “Changes to This Privacy Policy” below. Where required by applicable law, we will obtain your consent to our collection, use, and disclosure of personal information. By using our Website or Services, or by otherwise providing personal information to us, you acknowledge that you have read and understood this Privacy Policy.

1. Accountability

Web4You is responsible for personal information under its control. We have designated a Privacy Officer who is accountable for our compliance with this Privacy Policy and applicable privacy laws. You can reach our Privacy Officer at info@web4you.ca.
When we engage third party service providers, contractors, or partners that may process personal information on our behalf, we use contractual or other means designed to provide a comparable level of protection while the information is being handled by them, as described in this Privacy Policy and as required by applicable law.

2. Our Role: When We Act as an Organization and When We Act as a Service Provider

Depending on the circumstances, Web4You may handle personal information in two different capacities:
• As an organization collecting and using personal information for its own business purposes. This includes, for example, personal information collected through our Website, contact and project inquiry forms, marketing and business development activities, recruitment, partnership, sponsorship, and investment processes, and the management of our client and supplier relationships. In these cases, this Privacy Policy applies to our handling of that information.
• As a service provider or processor acting on behalf of a client. When we design, build, host, support, maintain, or otherwise process systems, websites, applications, platforms, AI solutions, or UAV/RPAS-related projects for our clients, we may process personal information on behalf of, and in accordance with the instructions of, that client.
Where we process personal information on behalf of a client, the client is generally responsible for the personal information within those systems, including providing its own privacy policy, obtaining any necessary consents, and instructing us on how the information may be used. In those cases, we process the personal information in accordance with our agreement with the client and applicable law, and the client’s privacy policy (rather than this Privacy Policy) will typically govern that information. If you have questions about how your personal information is handled within a client’s system, please contact that organization directly.

3. Personal Information We Collect

“Personal information” means information about an identifiable individual. The personal information we collect depends on how you interact with us and the nature of the Services involved. We aim to limit our collection to what is reasonably necessary for the purposes identified in this Privacy Policy.
Personal information of other individuals. To the extent that you (or your users) provide us with, or upload, data that includes the personal information of another individual, you represent and warrant that you have that individual’s consent (or another lawful basis) to provide us with their information for use in accordance with this Privacy Policy and our Terms. If you do not have such consent or authority, you agree not to provide us with that personal information.
Depending on the circumstances, we may collect the following categories of personal information:
• Identity and contact information, such as your name, mailing address, billing address, email address, and phone number;
• Business and professional information, such as your business or organization name, job title, and other company information;
• Inquiry, service, and project information, such as the contents of contact form submissions, service requests, quote and proposal requests, project details, technical requirements, and UAV/RPAS project inquiries;
• Partnership, sponsorship, and investment information submitted in connection with related inquiries;
• Communications and content, such as your correspondence with us, client communications, and any documents or files you upload or provide to us;
• Payment and billing information (payment card information is generally collected and processed by a third party payment processor; see “How We Disclose Personal Information” below);
• Comments, reviews, feedback, and testimonials that you provide to us or authorize us to use;
• Technical and usage information, such as your IP address, browser and device information, website usage and analytics data, information collected through cookies and similar technologies, and approximate (general) location data;
• Recruitment information, such as resumes, portfolios, employment and education history, references, interview notes, work-eligibility information, and other information you provide when applying for a position with us (see “Job Applicants and Recruitment” below);
• Project-related information in connection with UAV/RPAS, aerospace, or other technology projects, where applicable (see the section on UAV / RPAS and related projects below); and
• AI-related input and output data, where you submit information through, or interact with, AI-supported tools, project assessments, or communications (see “Our Use of Artificial Intelligence and Automation” below).
We may also collect personal information that you choose to provide to us in other contexts, such as when you participate in a survey, attend an event, or otherwise communicate with us.

4. UAV / RPAS, Aerospace, and Related Projects

Some of our work involves UAV / RPAS, aerospace, and related research, innovation, and technology projects. Where this work involves the collection, generation, or processing of personal information, we handle that personal information in accordance with applicable law, our contractual obligations (including obligations owed to our clients and project partners), and appropriate safeguards.
We aim to limit our collection of personal information to what is reasonably necessary, to protect confidential and sensitive project information, and to apply measures such as access controls, de-identification, or other safeguards where appropriate. In many cases, information relating to these projects is collected or processed on behalf of a client or project partner, in which case the arrangements described under “Our Role” above and the applicable project agreement will govern that information.

5. Our Use of Artificial Intelligence and Automation

We may use artificial intelligence, automation, and machine-learning tools to support our internal operations and the delivery of our Services. This may include, for example, supporting client services, software and product development workflows, analytics, project scoping and assessment, customer and technical support, recruiting, quality assurance, and security and fraud-prevention activities.
Where AI or automation tools are used, we seek to ensure that sensitive client information, confidential project information, and any controlled or confidential technical data are processed only with appropriate safeguards, contractual authorization, and applicable legal compliance. We do not represent that every interaction with us involves AI or automation, and the extent to which these tools are used will depend on the specific Service and context.

6. How and Why We Use Personal Information

We do not sell personal information. We use personal information for purposes such as the following, where applicable:
• responding to your inquiries and requests;
• preparing and providing quotes, proposals, and estimates;
• providing, delivering, and administering our Services;
• creating, maintaining, hosting, and supporting websites, applications, platforms, AI systems, and UAV/RPAS-related projects;
• establishing and managing our relationships with clients, suppliers, partners, and other contacts;
• billing, invoicing, accounting, collections, and fraud prevention;
• recruitment, hiring, and candidate evaluation;
• evaluating and managing partnership, sponsorship, investment, and supplier opportunities;
• analytics, and operating, maintaining, and improving our Website and Services;
• marketing, promotional, and business development activities, in accordance with applicable law;
• meeting legal, regulatory, security, and compliance requirements, which may include export-control, sanctions, controlled-goods, and related screening where relevant (see below);
• establishing, exercising, or defending legal claims, and enforcing our agreements and protecting our legal rights; and
• preventing, detecting, and responding to misuse, cybersecurity incidents, fraud, or unlawful activity.
We will identify the purposes for which we collect personal information at or before the time of collection, and we will use and disclose personal information only for those purposes or as otherwise permitted or required by law.

7. Compliance and Screening

Some of our work and the Services we provide may be subject to legal and regulatory requirements. As a result, we may collect and use personal information to conduct compliance checks where appropriate. Depending on the circumstances, this may include screening relating to sanctions, export controls, controlled goods, security and eligibility, fraud prevention, and the assessment of suppliers, partners, and contract requirements. We conduct such activities only to the extent appropriate and permitted by applicable law.

8. Consent

In general, we collect, use, and disclose personal information with your consent, except where otherwise permitted or required by law. Depending on the sensitivity of the information and the circumstances, your consent may be express (for example, when you submit a form or agree to receive marketing communications) or implied (for example, when you provide information in connection with a Service you have requested).
You may withdraw your consent to our collection, use, or disclosure of your personal information at any time, subject to legal or contractual restrictions and reasonable notice. 9. Commercial Electronic Messages (CASL)

Where we send commercial electronic messages, such as marketing emails, we do so only as permitted by applicable law, including Canada’s Anti-Spam Legislation (CASL), on the basis of express or implied consent. Each commercial electronic message we send will include an unsubscribe mechanism. You can withdraw your consent to receiving marketing communications at any time by using the unsubscribe link in the message or by contacting us at info@web4you.ca. We may still send you non-promotional messages relating to our Services or our relationship with you (for example, messages about a project or transaction) as permitted by law.

10. How We Disclose Personal Information

We do not sell personal information. We may disclose personal information in the following circumstances:
Third party service providers and partners. We may share personal information with suppliers, partners, independent contractors, advisors, and our personnel (collectively, “Third Party Providers”) who have a need to access it in connection with the purposes for which it was collected, such as hosting, operating, supporting, and improving our Website and Services. We may use a variety of Third Party Providers, including but not limited to:
• website hosting providers;
• cloud hosting and storage providers;
• Microsoft (including Microsoft Azure and/or Microsoft 365);
• WHC Online Solutions Inc. (WHC) and other hosting providers;
• analytics tools, such as Google Analytics;
• advertising and remarketing tools, which may include Meta Pixel and similar tools;
• bot-detection and security tools, such as Google reCAPTCHA;
• email, customer relationship management (CRM), newsletter, project management, recruitment, payment processing, accounting, cybersecurity, and software development tools;
• professional advisors, such as legal, accounting, and insurance advisors; and
• subcontractors, engineers, suppliers, research and development partners, and other project or technology partners, where applicable.
Our Third Party Providers may have their own agreements and privacy policies governing their handling of personal information. We provide links to some current providers’ privacy practices for convenience; for example, WHC’s privacy policy is available at https://whc.ca/legal/privacy-policy, and Microsoft’s privacy statement is available at https://privacy.microsoft.com/en-ca/privacystatement. We may update our Third Party Providers from time to time as our business and Services evolve.
Legal and regulatory requirements. We may disclose personal information and related content where required or permitted by law, such as in response to a subpoena, court order, or other legal process in any jurisdiction, or to comply with applicable legal, regulatory, or compliance obligations. Where we are legally required to disclose your personal information, we may, but are not obligated to, provide you with notice where permitted by law.
Investigations and safety. We may disclose personal information to cooperate with law enforcement or regulatory authorities, or where we reasonably believe disclosure is necessary or appropriate to investigate, prevent, or respond to suspected illegal activity, fraud, or threats to the safety of any person, or to protect our legal rights, in accordance with applicable law.
Business transactions. If all or part of our business or assets are sold, transferred, financed, reorganized, or acquired by, or merged with, another entity, we may disclose personal information to the prospective or actual successor or assignee. Disclosure in connection with such transactions is governed by applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act, SC 2000, c 5 (PIPEDA).

11. Cookies and Similar Technologies

Our Website uses cookies and similar technologies to operate the site, understand how it is used, and (where applicable) support advertising. Cookies are small text files that are stored on your browser or device when you visit a website. They may be “session” cookies (deleted when you close your browser) or “persistent” cookies (which remain until they expire or are deleted).
Depending on the circumstances, we and our Third Party Providers may use the following categories of cookies and similar technologies:
• Necessary cookies, which are required for the Website to function and cannot easily be switched off;
• Analytics cookies, which help us understand how visitors use our Website (for example, through Google Analytics);
• Advertising and remarketing cookies, which may be used to deliver and measure advertising across websites;
• Preference cookies, which remember your choices, such as language or region;
• Embedded content cookies, which may be set when our Website includes embedded content, such as YouTube videos or social media features; and
• Security tools, such as Google reCAPTCHA, which help protect our Website against spam and abuse.
You can manage or disable cookies through your browser settings, and many browsers allow you to delete cookies that have already been stored. Information about managing cookies is generally available through your browser provider (for example, Chrome, Firefox, and Safari each provide cookie-management instructions). Please note that if you disable certain cookies, some features of our Website may not function properly.
We currently rely primarily on cookies and similar technologies that are necessary to operate and help secure our Website, including security tools such as Google reCAPTCHA. We do not currently use a cookie-consent banner; instead, you can control, manage, or disable cookies through your browser settings as described above. Where we use non-essential cookies, such as analytics or advertising cookies, we will obtain consent where required by applicable law. Necessary cookies do not generally require consent because they are essential to providing the Website.

12. Storage and Cross-Border Transfer of Personal Information

We, and our Third Party Providers, partners, contractors, advisors, and project collaborators, may store or process personal information in Canada, the United States, the European Union, or other jurisdictions in which we or they operate. As a result, your personal information may be subject to the laws of those jurisdictions, and may be accessible to courts, law enforcement, regulators, and other government or national-security authorities in those jurisdictions in accordance with their laws. Where required by applicable law, we take steps designed to provide an appropriate level of protection for personal information that is transferred to, or stored in, another jurisdiction.

13. How We Safeguard Personal Information

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against loss or theft, as well as unauthorized access, disclosure, copying, use, or modification, appropriate to the sensitivity of the information. Depending on the circumstances, these measures may include access controls and role-based access, confidentiality obligations for personnel and contractors, secure storage, encryption where appropriate, vendor and contractual controls, logging and monitoring where appropriate, secure development practices, internal policies and procedures, and limited access to confidential or sensitive technical project information.
No method of transmitting or storing information is completely secure. While we take reasonable steps to protect personal information, we cannot guarantee its security, and you acknowledge that there is always some risk when sharing information online, including the risk of unauthorized access to systems operated by us or our Third Party Providers. Provisions in our Terms may limit our liability, including liability arising in connection with data breaches or unauthorized access, to the extent permitted by law.

14. Retention of Personal Information

We retain personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, or as otherwise required or permitted by applicable legal, tax, contractual, security, regulatory, employment, research and development, insurance, dispute-resolution, or compliance obligations. There is no single retention period that applies to all personal information; different categories of information may be retained for different periods, depending on the purpose and applicable requirements. When personal information is no longer required, we take reasonable steps to securely destroy, delete, or anonymize it. If you would like us to delete personal information we hold about you, please contact us; we will respond in accordance with applicable law and any legal or contractual restrictions that may apply.

15. Privacy Breaches

If a privacy breach involving personal information under our control occurs, we will assess the incident and take reasonable steps to contain and address it. Where required by applicable law or under an applicable agreement, we will notify affected individuals, the relevant regulators (such as the Office of the Privacy Commissioner of Canada or a provincial regulator), our clients, or other parties, and we will keep records of breaches as required by law.

16. Your Privacy Rights and Choices

Subject to applicable law and any legal or contractual restrictions, you may have the right to:
• request access to the personal information we hold about you;
• request correction of inaccurate or incomplete personal information;
• withdraw your consent to our collection, use, or disclosure of your personal information, subject to legal or contractual restrictions and reasonable notice;
• unsubscribe from our marketing communications;
• request deletion of your personal information, where deletion is available under applicable law; and
• ask questions about this Privacy Policy, or file a complaint about our handling of your personal information.
To exercise any of these rights, please contact our Privacy Officer at info@web4you.ca. We may need to verify your identity before responding to a request. We will respond within the timeframes and in the manner required by applicable law. If we are unable to fulfill a request, we will explain why, except where we are restricted from doing so by law.
If you are not satisfied with our response, you may have the right to contact the Office of the Privacy Commissioner of Canada or the privacy regulator in your province (for example, in Quebec, the Commission d’accès à l’information).
Where we process your personal information on behalf of a client (see “Our Role” above), please direct your access, correction, and related requests to that client; we will assist the client as required by our agreement and applicable law.

17. Job Applicants and Recruitment

If you apply for a position with us, or otherwise express interest in employment or contracting opportunities, we may collect personal information such as your name and contact details, resume, portfolio, employment and education history, references, interview notes, work-eligibility information, and other information relevant to your application. We use this information to evaluate your application, communicate with you, make hiring decisions, conduct appropriate background and eligibility checks where permitted, and meet legal and compliance obligations. Where permitted by applicable law, we may retain your information to consider you for future opportunities. If you provide us with personal information about your references or other third parties, you confirm that you have their consent to do so.

18. Provincial Privacy Laws and Quebec (Law 25)

We aim to handle personal information in accordance with PIPEDA and applicable provincial privacy laws. If we collect, use, or disclose personal information about residents of Quebec, we will do so in accordance with Quebec’s Act respecting the protection of personal information in the private sector, as amended (including by the law commonly known as “Law 25”), which may provide additional rights, such as rights relating to consent, de-indexing, and (where applicable) data portability. Residents of other provinces with applicable private-sector privacy legislation may also have additional rights under those laws. 19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our Services, or applicable law. When we make changes, we will revise the “Last Updated” date at the top of this Privacy Policy and post the updated version on our Website. Where required by law, we will provide additional notice or obtain your consent. We encourage you to review this Privacy Policy periodically.
